A cancellation window (also called a notice period or opt-out window) is the window of time before a SaaS contract's renewal date during which you must submit written notice if you want to cancel, downgrade, or renegotiate. Once the window closes, the contract auto-renews for another full term — typically 12 months — and the vendor is under no legal obligation to offer a refund or early exit.
The cancellation window is defined in the contract's auto-renewal clause, not by the billing system. You can be charged on a Monday, but the window may have closed the prior Friday.

A Concrete Example
A company signed an annual HubSpot contract on April 15, 2025. The contract includes a 60-day cancellation notice requirement.
- Renewal date: April 15, 2026
- Last day to cancel: February 14, 2026 (60 days before renewal)
- Cost if missed: $14,400 for another year
The finance team runs a 90-day renewal review in January and sees the HubSpot renewal on the list. Because the alert fired at 90 days (January 15), they have a full month before the cancellation deadline — enough time to negotiate a 20% seat reduction.
If the alert had fired at 30 days (March 15), the cancellation window would already be closed.
The Difference Between Renewal Date and Cancellation Deadline
These two dates are often confused:
- Renewal date = the day the new term begins (and the charge fires)
- Cancellation deadline = the last day you can act to change the outcome
