A SaaS renewal calendar is a centralized schedule that shows every software subscription's renewal date, cancellation deadline, cost, and assigned owner in one place. It gives finance and ops teams a rolling 90–180 day forward view of upcoming renewal decisions, so each tool gets reviewed before the auto-renewal fires — not after the charge appears on the card.
A renewal calendar is the output of a SaaS renewal management process: without inventory and notice-period data, you can't build one; with it, the calendar becomes the primary tool for managing SaaS spend.
What a Renewal Calendar Contains
| Field | Purpose |
|---|---|
| Vendor | Name of the SaaS tool |
| Annual cost | What you'll pay if it renews |
| Renewal date | When the new term begins |
| Cancellation deadline | Last day to give notice (renewal date minus notice period) |
| Owner | Person responsible for the keep/cancel decision |
| Status | Decision pending / approved / cancelled / renegotiating |
A Concrete Example
A 60-person company maintains a renewal calendar in Satellite. In the 90-day view for Q2, the finance lead sees:
| Vendor | Annual cost | Renewal date | Cancellation by |
|---|---|---|---|
| Figma (20 seats) | $3,000 | April 30 | March 31 |
| Zoom (company-wide) | $2,400 | May 15 | April 15 |
| Loom (40 seats) | $4,800 | June 1 | May 2 |
| Notion (25 seats) | $2,100 | June 18 | May 19 |
Seeing all four together, the finance lead notices that the engineering team stopped using Loom six months ago. They cancel the Loom contract before the May 2 deadline and save $4,800. Without the calendar, they would have discovered the renewal on the June credit card statement — too late.
Renewal Calendar vs. Renewal Tracker
The terms are often used interchangeably. The distinction, when made, is:
- A renewal tracker is the underlying data: the list of subscriptions, contract terms, and owners.
- A renewal calendar is the time-based view: what's coming up in the next 30/60/90 days.
In practice, a good renewal tracker automatically generates the calendar view. A spreadsheet that lists renewal dates but requires you to manually sort by date is a tracker that forces you to build your own calendar.
